Attributes - Data Types
Text - editable field
Text - predetermined data - using a popup list / combo box
Float or Money
When a Data field is first dragged from the Palette into the Workspace, it has these defaults:
|System name:||next available field identifier e.g. Field9|
|User name:||next available field identifier e.g. Field9|
|Data type:||Text, Size: 40 Max|
|Show in TX Audit Control:||No (applicable to Subledgers only)|
|Link to source:||None (allocate locally) (applicable to Subledger and Global only)|
|Title (position):||Inherited from last usage|
|Box border:||Inherited from last usage|
|Field - Border:||Inherited from last usage|
|Field - Alignment:||Inherited from last usage|
|Input style - Text input options:||Accept keyboard input as is|
|Security - Default access:||Read & write|
|Security - Specific access:||Read & write (all Users) - used to override the default setting|
The physical shape of a field is dependent upon its data type. All fields are resizable - according to the Control Points shown (only Image and Note fields can be resized horizontally and vertically; all other fields can be drag-resized horizontally only, since their vertical resizing is an automatic by-product of Font selection). Also note the sub-options applicable to some of the Data types:
Default setting is 40 characters Max (maximum). You can specify the number of characters other than 40 and select Fixed or Max:
Pre-determined data for the Text data type
Text-based fields can be restricted in their contents to a preset list of text strings from a Value list. In this case, instead of entering a free-formatted text from the keyboard, the user will be presented with a choice of values from the list. To make use of this feature, select Text as the applicable data type, then select a Value list from the Lists Inspector view. The Text field will become a pop-up list unless the combo-box has been specified as part of the Style view.
In the event that the data text of the selected Value list exceeds the current field size, you will be confronted with an Attention Panel: "Size will change Value List contains items with length up to X characters. Current field size of N characters will be extended to X" (where N is the current field size and X field size requirement to handle the maximum data line in the selected Value List). You must dismiss the Attention Panel by clicking on the OK button. However, you can still increase the size of Text data type in the Attributes view beyond the X value. If you don't, you will permanently fix the length of that field within that template related database table to the value of X even if, at a later time, you add additional data options of greater length than X to the Value List in question.
Please Note: You can also retrieve data from another table using the Stop and show option for multiple fields of differing data types as local data.
Pick Bytes of 1, 2, or 4 according to the Range needed. The choice of the range depends on the expected values to be stored in the field. Generally, you should always opt for the smallest (but adequate to your requirements) possible, if space consumption is a concern. 4 Bytes is the default.
Float or Money
Specify up to nine (9) decimals. Money fields may be subject to certain constraints imposed by the database used. The Number of decimal places is used only in formatting the contents of the field when displayed during data entry. Internally Float and Money fields are stored in the database table without any reference to the number of decimal places set in the Inspector.
This Data type should be selected when the data being captured is a Date. The database tables record the date internally in the YYYYMMDD format. The input and output display format during data entry or reporting is controlled through the Accessories - Date Formats and individual choices made with Preferences.
This Data type should be selected when the data being captured is Time. The database tables record the Time internally in the HHMMSS format. Formats choices are made with Preferences.
The default text field is changed automatically to the Switch field as soon as the Switch Data type is selected. The Switch tracks a logical (yes/no i.e. On/Off) state.
This is a specially designated field capable of handling any alpha-numeric subsidiary number configuration. Consequently, when defining a field as a Subledger number no other Data type settings are required; simply specify Size and select Character or Numerical format.
