Tutorial 19 - Transaction Templates - Extra

Be sure to read the explanations contained in the On-line Help with respect to Extra Templates. This Tutorial will be divided into several Exercises as you create a number of Templates that will be triggered under specified conditions.



Exercise 19 - 1, Configuring the AR Template
This template will be equipped with one field in addition to the Common fields: a Date field (Due Date).

1. Select the Template > New menu option.
This will display an UNTITLED Transaction Data Workspace with all the Common fields in the same position and cursor connections as you just established in Tutorial 18.

2. Set the Trigger:
if necessary, click on the Workspace's background (this will display the Inspector's Trigger view);
select Prefix 1 and Number 112, and the Sign as Any;
no Source documents need to be specified (i.e. utilize this template when the account combination is 1-112 and the Amount value (Sign) is positive or negative, regardless of which Source document is involved).
The Inspector settings should now look like this:

 


3. Update the UNTITLED Template by making these changes:
change the Title from Common Template to Accounts Receivable;
change the User name of field #8 from Subledger to Customer.

4. Drag a Data field from the Palette and provide these Inspector settings:
change the System and User names to Due Date;
the Box and Field border styles are inherited from the last selected field, prior to dragging;
the Alignment should be |<-|;
set the Input action to Skip,
the Due Date will be calculated and inserted with a Procedure;
set the Security > Access - Default access to Read & write.

5. Connect the fields as per example.


Exercise 19 - 2, Cloning the AR Template
The Extra Template that you just created is triggered when the Amount value is positive or negative and the account combination is 1-112 (Accounts Receivable), regardless of which Source Document is involved. You will clone one template, based on the AR Template to provide for the Accounts Payable requirements.

1. With the AR Template still displayed (or newly loaded), select the Template > Clone menu item.
This will display the Clone Transaction Template panel.
Enter Name as AP and Description as Accounts Payable.
This will Save the AP Template as an exact replicate of the AR Template; however, the Inspector's Trigger specifications have been removed and the AP Template is disabled (you will see it listed in bold font in the Open Transaction Template panel once we get to it).

2. Select the Template > Close menu item.
This will dismiss the AR Template.
3. Select the Template > Open menu item.
This will display the Open Transaction Template panel. Note the disabled Template which you just cloned. The name is preceded by a small icon which identifies it as a clone of the Template under which it is listed.

Select the AP Template:


4. The title bar reads AP (AR) Transaction Data Workspace indicating that AP is a clone of AR. Modify this template by making these changes:
change the Title from Accounts Receivable to Accounts Payable;
change the User name of field #8 from Customer to Vendor;
set the Inspector's Trigger to Prefix 1, Number 308, and the Sign as Any.



Exercise 19 - 3, Configuring the MERCH Template
This Template will be similar to the AR Template but with one field added (Quantity) and one field removed (Due Date). This will allow us to use another technique of configuring a Template: Save As...

1. Open the AR Template (you know the steps to be taken).
Select the Template > Save As... menu item.
This will display the Save Transaction Template panel.
Enter the Name as MERCH and the Description as Inventory and press the OK button.
This will replace the AR Template with the MERCH Template and remove the Trigger specifications.

2. Modify the MERCH Template by making these changes:
change the Title from Accounts Receivable to Inventory;
change the User name of field #8 from Customer to Product;
add a new Data field and place it between the Product and Document Date fields and connect them;
define the new field: System name as Quantity; User name as Qty; Data type as an Integer of 2 Bytes; and Mandatory input as ON; Alignment as |-><-|; Security as Read & write;
delete the Due Date field and connect the Document Date to the Hub;
set the Inspector's Trigger to Prefix 2, Number 120, and Sign as Any,
set the Inspector's Trigger to Prefix 3, Number 120, and Sign as Any,
set the Inspector's Trigger to Prefix 2, Number 510 - 620, and Sign as Any, and
set the Inspector's Trigger to Prefix 3, Number 510 - 620, and Sign as Any.
The MERCH Template should now look like this:
